Reference Materials

The following resources were used in planning this lesson:

Instructional Materials

The teacher will teach this lesson with the aid of:

  • photocopier (or picture/chart if not available)
  • scanning machine/scanner (or picture/chart if not available)
  • shredding machine/shredder (or picture/chart if not available)
  • overhead projector (or picture/chart if not available)
  • projector charts/transparencies (where applicable)
  • sample documents for copying and scanning
  • dust cover/clean cloth (for care demonstration)

Rationale for the Lesson

This lesson helps pupils understand common machines used to copy, scan, protect, and present information in offices. It also teaches safe use and simple care practices that prevent damage and reduce workplace accidents.

Prerequisite/Previous Knowledge

Pupils have seen printers or computers and understand that offices use machines to handle documents.

Lesson Content/Board Summary

Office Equipments (Cont.): Uses and Care

Photocopier

A photocopier is a machine used to make duplicate copies of documents and images on paper.

The following are the uses of a photocopier:

  • making copies of letters, reports, and forms.
  • producing multiple copies for meetings and classes.
  • enlarging or reducing document size (where the machine supports it).

The following are ways of caring for a photocopier:

  • keep the glass surface clean to avoid dirty copies.
  • use the correct paper size and type recommended for the machine.
  • avoid overloading the paper tray.
  • switch off properly after use and cover to prevent dust.
  • service the machine regularly and report faults early.

Scanning Machine (Scanner)

A scanner is a machine that converts a paper document or picture into a digital file on a computer.

The following are the uses of a scanning machine:

  • creating soft copies of documents for storage.
  • sending documents electronically through email or other platforms.
  • keeping records and backing up important documents.

The following are ways of caring for a scanning machine:

  • clean the scanner glass gently with a soft cloth.
  • avoid pressing documents too hard on the glass.
  • keep liquids away from the machine and computer ports.
  • use proper shutdown procedures and cover after use.
  • keep cables and connectors intact and well arranged.

Shredding Machine (Shredder)

A shredder is a machine used to cut paper documents into small pieces to prevent unauthorized reading.

The following are the uses of a shredding machine:

  • destroying confidential documents such as memos and reports.
  • reducing document build-up and improving cleanliness in the office.
  • protecting personal and organizational information from misuse.

The following are ways of caring for a shredding machine:

  • do not insert thick materials beyond the machine capacity.
  • switch off and unplug before cleaning or removing jammed paper.
  • empty the waste bin regularly to prevent blockage.
  • keep fingers, hair, and loose clothing away from the feeding slot.
  • use the machine according to instructions and avoid overheating.

Overhead Projector (OHP)

An overhead projector is a device used to project information written or printed on transparent sheets onto a screen or wall for viewing by a group.

The following are the uses of an overhead projector:

  • presenting diagrams, notes, and charts to a class or meeting.
  • supporting teaching and training with visual aids.
  • helping a large group to see the same information at the same time.

The following are ways of caring for an overhead projector:

  • handle the projector carefully and avoid dropping or rough movement.
  • allow the lamp to cool before packing or covering.
  • keep the lens and mirror clean to ensure clear projection.
  • do not block ventilation openings to prevent overheating.
  • store in a dry, dust-free place after use.

Teaching Methods/Instructional Techniques

Discussion, Lecture, Demonstration, Question and Answer, Visual Aids

Instructional Procedures

Step 1: Introduction

Time: 5 minutes
Teaching Skill: Set Induction
Teacher’s Activity: The teacher displays a sample document and asks pupils how offices make copies, store soft copies, destroy confidential papers, and present information to a group, then introduces the topic.
Pupils’ Activity: Pupils respond to questions and mention machines they have seen in offices or business centres.
Learning Point: Offices use machines to copy, scan, protect, and present information.

Step 2: Identification and Meaning of the Machines

Time: 5 minutes
Teaching Skill: Explanation
Teacher’s Activity: The teacher shows the photocopier, scanner, shredder, and overhead projector (or charts) and explains what each one is.
Pupils’ Activity: Pupils identify each machine and copy the meanings into their notebooks.
Learning Point: Each office machine has a specific purpose and name.

Step 3: Uses of the Photocopier and Scanner

Time: 7 minutes
Teaching Skill: Discussion
Teacher’s Activity: The teacher guides pupils to state the uses of the photocopier and scanner and writes key points on the board.
Pupils’ Activity: Pupils contribute points and write the listed uses.
Learning Point: Photocopiers produce paper copies while scanners convert papers to digital files.

Step 4: Uses of the Shredder and Overhead Projector

Time: 7 minutes
Teaching Skill: Discussion
Teacher’s Activity: The teacher explains why shredding is important for confidentiality and how an overhead projector supports presentations, then lists the uses on the board.
Pupils’ Activity: Pupils ask questions and copy the listed uses.
Learning Point: Shredders protect information while overhead projectors support group viewing.

Step 5: Care of the Machines

Time: 7 minutes
Teaching Skill: Explanation
Teacher’s Activity: The teacher explains care and safety rules for each machine, emphasizing cleanliness, correct handling, and safe power use.
Pupils’ Activity: Pupils list the care rules and mention safety precautions they know.
Learning Point: Proper care improves machine lifespan and prevents accidents.

Step 6: Demonstration and Guided Practice

Time: 4 minutes
Teaching Skill: Demonstration
Teacher’s Activity: The teacher demonstrates basic photocopying and scanning procedures and shows safe shredding steps, then supervises pupils in small groups to practise copying and scanning.
Pupils’ Activity: Pupils practise copying and scanning under supervision and observe safe shredding procedures.
Learning Point: Correct procedures ensure good output and safe handling.

Step 7: Evaluation/Review

Time: 5 minutes

Teaching Skill: Questioning/Assessment

Teacher’s Activity: The teacher evaluates the learning by asking the following questions:

  1. Define a photocopier and a scanning machine.
  2. List four office machines taught in today’s lesson.
  3. State three uses of a shredder and an overhead projector.
  4. Explain four ways of caring for a photocopier and a scanner.

Pupils’ Activity: Pupils answer orally and in writing.

Learning Point: Pupils demonstrate understanding of the lesson.

Step 8: Conclusion

Time: 5 minutes
Teaching Skill: Recap/Summarization
Teacher’s Activity: The teacher summarizes the meanings, uses, and care of the photocopier, scanner, shredder, and overhead projector and gives an assignment to write one use and two care rules for each machine.
Pupils’ Activity: Pupils listen, copy the summary points, and write down the assignment.
Learning Point: Office machines support document handling and must be maintained properly.

Lesson Keywords

  • Photocopier – a machine used to make duplicate paper copies of documents.
  • Scanner – a machine that converts paper documents into digital files.
  • Shredder – a machine that cuts paper into pieces to protect confidential information.
  • Overhead projector – a device that projects information on transparent sheets onto a screen or wall.
  • Confidential document – a document that must be protected from unauthorized access.

Differentiation

Pupils who learn faster will compare photocopying and scanning with two differences and two similarities, while pupils who need support will use labelled pictures to match each machine to its use and one care rule.

Note for teachers using this lesson plan

Emphasize safety, especially with power supply and the shredder feeding slot, and supervise all practical activities closely. If the machines are not available, use clear charts and pictures and demonstrate procedures with step-by-step explanations.
