Meaning of Office Personnel

Typist

A typist is an office worker who types letters, reports, and other documents from handwritten drafts or dictation.

The following are duties of a typist:

  • typing letters, memos, reports, and minutes.
  • formatting documents neatly and correcting errors.
  • printing typed work and arranging copies when needed.
  • keeping typing materials such as paper and cartridges ready.
  • filing typed documents or sending them to the right officer.
  • maintaining the typing area in a clean and orderly condition.

Computer Operator

A computer operator is an office worker who uses computer systems to process, store, and produce information and documents.

The following are duties of a computer operator:

  • entering data and processing information on the computer.
  • creating and saving documents for office use.
  • printing and producing hard copies of documents.
  • storing and backing up files to prevent loss of data.
  • keeping computer systems and accessories in good condition.
  • reporting faults and assisting in basic troubleshooting when needed.

Messenger

A messenger is an office worker who carries documents and messages within and outside the office.

The following are duties of a messenger:

  • delivering letters, files, parcels, and messages to offices and individuals.
  • collecting documents and items from other departments or organizations.
  • taking incoming mail to the right officer for action.
  • keeping records of deliveries where required.
  • assisting with simple office errands such as photocopying and filing.
  • maintaining good conduct and protecting documents from loss or damage.

Cleaners

Cleaners are office workers responsible for keeping the office environment clean, safe, and orderly.

The following are duties of cleaners:

  • sweeping, mopping, and dusting office floors and surfaces.
  • cleaning offices, toilets, and surrounding areas regularly.
  • disposing of waste properly and emptying dustbins.
