Lesson Content/Board Summary

Formatting Texts

Modifying Text Font and Size

Text formatting involves changing the appearance of text in a document to improve readability and visual appeal. Font refers to the design of text characters (e.g., Arial, Times New Roman), while font size refers to the height of the characters.

The following are steps to modify text font and size:

  • Select the text you want to format.
  • Go to the ‘Home’ tab in the word processor ribbon.
  • In the ‘Font’ group, click the dropdown arrow next to ‘Font’ to choose a new font type.
  • Click the dropdown arrow next to ‘Font Size’ to select a new size.

Aligning Text in a Document

Text alignment refers to the way text is positioned between the left and right margins of a document. It affects the overall layout and neatness of the document.

The following are common types of text alignment:

  • Left Align: Aligns text to the left margin, leaving the right margin ragged.
  • Right Align: Aligns text to the right margin, leaving the left margin ragged.
  • Center Align: Centers text evenly between the left and right margins.
  • Justify: Aligns text to both the left and right margins, adding extra space between words as needed.

The following are steps to align text:

  • Select the paragraph(s) you want to align.
  • Go to the ‘Home’ tab.
  • In the ‘Paragraph’ group, click on the desired alignment button (Left, Center, Right, Justify).

Indenting Paragraphs and Modifying Line Spacing

Paragraph Indentation: Indentation is the distance of a paragraph from the left or right margin. It helps to structure text and differentiate paragraphs or sections.

The following are steps to indent a paragraph:

  • Place the cursor in the paragraph or select the paragraphs you want to indent.
  • Go to the ‘Home’ tab, then in the ‘Paragraph’ group, click ‘Increase Indent’ or ‘Decrease Indent’ buttons.
  • Alternatively, use the ‘Paragraph Settings’ dialog box for more options (e.g., First Line Indent, Hanging Indent).

Line Spacing: Line spacing is the amount of vertical space between lines of text in a paragraph. It improves readability.

The following are steps to modify line spacing:

  • Select the paragraph(s) whose line spacing you want to change.
  • Go to the ‘Home’ tab, then in the ‘Paragraph’ group, click the ‘Line and Paragraph Spacing’ button.
  • Select a predefined spacing (e.g., 1.0, 1.5, 2.0) or choose ‘Line Spacing Options’ for custom settings.

Inserting Headers and Footers

A header is text or graphics that appears at the top of every page in a document. A footer is text or graphics that appears at the bottom of every page.

The following are common uses of headers and footers:

  • Page numbers
  • Document titles
  • Author’s name
  • Date

The following are steps to insert headers and footers:

  • Go to the ‘Insert’ tab.
  • In the ‘Header & Footer’ group, click ‘Header’ or ‘Footer’.
  • Choose a built-in design or click ‘Edit Header’/’Edit Footer’ to create a custom one.
  • Type the desired text or insert elements like page numbers, date, or document info.
  • Click ‘Close Header and Footer’ or double-click outside the header/footer area to exit.

Time: 5 minutes
Teaching Skill: Set Induction
Teacher’s Activity: The teacher greets the pupils and asks them to observe two sample documents: one unformatted and one well-formatted. The teacher asks, “Which document is easier to read and looks more professional? Why?”
Pupils’ Activity: Pupils observe the documents, respond to the questions, and identify the importance of a neat document.
Learning Point: Pupils understand that formatting improves document readability and professionalism.

Step 2: Explanation of Text Formatting

Time: 5 minutes
Teaching Skill: Explanation/Definition
Teacher’s Activity: The teacher defines text formatting and introduces the specific areas to be covered: font, size, alignment, indentation, line spacing, and headers/footers. The teacher explains that these are tools for effective document presentation.
Pupils’ Activity: Pupils listen attentively and take notes on the definition and scope of text formatting.
Learning Point: Pupils understand the meaning of text formatting and the elements to be learned.

Step 3: Modifying Text Font and Size

Time: 8 minutes
Teaching Skill: Demonstration/Practical Application
Teacher’s Activity: The teacher demonstrates how to select text and change its font type and size using a computer and projector. The teacher guides pupils through a practical exercise where they modify font and size in a sample document.

Learning Point: Pupils learn how to change text font and size.

Step 4: Aligning Text in a Document

Time: 7 minutes
Teaching Skill: Demonstration/Guidance
Teacher’s Activity: The teacher explains the different types of text alignment (left, right, center, justify) and demonstrates how to apply each. The teacher then guides pupils to align different paragraphs in their sample documents.
Pupils’ Activity: Pupils observe the demonstration, understand the alignment types, and practice applying various alignment options.
Learning Point: Pupils learn to apply different text alignment options.

Step 5: Indenting Paragraphs and Modifying Line Spacing

Time: 7 minutes
Teaching Skill: Demonstration/Instruction
Teacher’s Activity: The teacher explains paragraph indentation and line spacing, their importance, and demonstrates how to adjust them using the word processing software. The teacher provides an exercise for pupils to practice.
Pupils’ Activity: Pupils observe the demonstration, understand the concepts, and practice indenting paragraphs and changing line spacing.
Learning Point: Pupils learn to indent paragraphs and modify line spacing.

Step 6: Inserting Headers and Footers

Time: 6 minutes

  4. Explain the difference between a header and a footer.
  5. How would you indent a paragraph in a word document?

Pupils’ Activity: Pupils answer orally and in writing.

Learning Point: Pupils demonstrate understanding of the lesson.

Step 8: Conclusion

Time: 2 minutes
Teaching Skill: Summarization
Teacher’s Activity: The teacher summarizes the key formatting techniques learned and encourages pupils to practice these skills to create professional-looking documents. The teacher assigns homework.
Pupils’ Activity: Pupils listen to the summary and copy down the homework assignment.
Learning Point: Pupils reinforce their understanding and are encouraged to practice.

Lesson Keywords

  • Formatting – Changing the appearance of text in a document.
