Definition of Trial Balance

A trial balance is a list of all debit and credit balances extracted from the ledger accounts on a particular date. It is prepared to check the arithmetical accuracy of the entries made in the ledger accounts.

Purpose of Preparing a Trial Balance

The following are the purposes of preparing a trial balance:

  • To check the arithmetical accuracy of the double-entry postings in the ledger.
  • To summarize all ledger balances in one place.
  • To facilitate the preparation of final accounts (trading, profit and loss account, and balance sheet).
  • To detect certain types of errors in the books of accounts.

Layout of a Trial Balance

A trial balance typically has three columns:

  • Account Name
  • Debit (₦)
  • Credit (₦)

It is usually headed with the name of the business and the date at which it is prepared, for example: “Trial Balance as at 31st December, 20XX”.

Extraction of Balances from Ledger Accounts

The following steps are involved in extracting balances from ledger accounts:

  • Balance off each ledger account (e.g., Cash, Bank, Sales, Purchases, Capital, etc.).
  • List all accounts with debit balances in the debit column of the trial balance.
  • List all accounts with credit balances in the credit column of the trial balance.

Balancing the Trial Balance

After listing all debit and credit balances, the total of the debit column must be equal to the total of the credit column. If the totals agree, it indicates arithmetical accuracy, but it does not guarantee that all errors have been avoided.
