Definition of Control Account

A control account is a summary account in the general ledger that represents the total of all balances in a subsidiary ledger. It helps to verify the accuracy of the entries made in the individual accounts within the subsidiary ledger.

Purpose/Importance of Control Accounts

The following are the purposes or importance of control accounts:

  • They help to locate errors quickly by comparing the balance of the control account with the total of the subsidiary ledger balances.
  • They provide a check on the accuracy of the individual accounts in the subsidiary ledger.
  • They reduce the chance of fraud and manipulation of individual accounts.
  • They facilitate the preparation of trial balances and financial statements by providing a single balance for all debtors or creditors.
  • They enable the division of labour in the accounting department.

Purchases Ledger Control Account

The Purchases Ledger Control Account (also known as Creditors Control Account or Total Payables Account) is a summary account in the General Ledger that tracks all transactions relating to trade creditors (suppliers). Its balance should agree with the total of the individual balances in the Purchases Ledger.

Items on the Debit Side of Purchases Ledger Control Account

These items generally reduce the amount owed to suppliers:

  • Cash/Bank Payments to Suppliers: Money paid to creditors.
  • Discounts Received: Reductions in the amount owed to creditors for prompt payment.
  • Returns Outwards: Value of goods returned to suppliers.
